Do you need to report office or workshop equipment and supplies?
If you are an employer and you provide equipment and supplies to your employees, whether for an office or a workshop, you might be wondering whether this counts as a taxable benefit which needs to be reported to HMRC. We’re pleased to tell you that this kind of information doesn’t need to be reported to HMRC and there is no extra PAYE tax or National Insurance to pay as long as the equipment or supplies provided are necessary for your employees to do their job.
Examples of the type of equipment or supplies that HMRC are referring to include accommodation costs for your office or workshop (living accommodation is not included in this exemption) and office or workshop furniture such as desks, computers, workbenches or tools. It also includes supplies such as stationery and telephone or internet connections.
These rules don’t apply to employees who work from their own homes – you need to refer to the section on Homeworking to see how to treat those costs.
If the cost of providing this equipment or supplies forms part of a salary sacrifice arrangement, it isn’t classed as exempt and will need to be reported to HMRC on your P11D. If the amount of salary given up is higher than the cost of the equipment and supplies provided, you need to report the salary amount on the P11D instead. This only applies to salary sacrifice arrangements made after 6th April 2017.
